KB717 | v17 | How to Customize, Configure and Use Enrollment Notifications

Overview

This article explains how to configure and customize learner enrollment notifications in GyrusAim, covering steps for editing templates and recommendations for their use.

Utilization and Access

Enrollment notifications are sent automatically when:

  • A learner is assigned to a non-scheduled training (e.g., eLearning modules).
  • A learner is enrolled in a scheduled training (e.g., Instructor-Led Training or Webinars).

GyrusAim provides two standard enrollment notifications. These notifications can be accessed by navigating to:
Configuration > Email > Definitions and selecting the Enrollment Enrollee Email Definition Type.


Editing and Customizing Notifications

To customize an existing enrollment notification:

  1. Navigate to the Enrollment Enrollee notification list.
  2. Hover over the ellipsis (...) next to the desired notification and select the Edit action button.

Once in edit mode, you can modify:

  • Subject: The email subject line.
  • Greeting: The opening salutation.
  • Body: The main content of the notification, including font, style, alignment, color, and hyperlinks.
  • Signature: The closing text.

Tip: Use the formatting options shown in the screenshot below to enhance the design of your notifications.


Adding a New Custom Notification

If you prefer to create a new notification:

  1. Select the Add action button.
  2. Populate the following fields:
    • Name: A unique identifier for the notification.
    • Subject: The email subject line.
    • Greeting: The opening salutation.
    • Body: Include up to four paragraphs of content.
    • Signature: The closing text.
  3. Click Save to add your custom notification to the list under the Enrollment Enrollee definition type.

Assigning Notification to Courses

Notification templates are configured at the course level. To assign a notification template:

  1. Navigate to the Training Info page of your course via:
    Training > Training Setup, then click Edit on the course.
  2. Scroll to the bottom of the Training Info tab and open the Email Notification section.
  3. In the Enrollment dropdown menu, select the desired template.
  4. Click Save to apply the changes.

Once configured, enrollment notifications will be sent automatically:

  • For scheduled training types, upon learner enrollment.
  • For non-scheduled training types, upon assignment.
