KB684 | v16 | Syllabus Scheduling

Purpose

To provide guidance on how to schedule a Syllabus within GyrusAim.

Syllabus Properties

As shown in above Images 1 and Image 2, a new Syllabus will be created in GyrusAim with the following fields:
1) “Pattern” : 
a. When a Syllabus is scheduled, it is only allowed to be scheduled on these days.
b. Example:  If only Monday is selected, and the Syllabus has 3 days added to it, the Syllabus Event will occur over a duration of three weeks.  The system will schedule the first Syllabus Event on the first Monday and then the next two Mondays to equal a 3 day Event.
2) “Weeks Between”, “Months Between” : 
a. The time period between Syllabus Event days between the first Syllabus Event meeting date and the next meeting date.  Continuing the previous example: 
b. If Months Between = 2, then the 3 days class will have a duration of 4 months.  The first Syllabus Event will be scheduled on the first Monday, then skip 2 months and schedule the next Syllabus Event date, and so on.
3) “Goal / Summary / Notes” :
a. Text fields available to add information about the Syllabus.  These fields can be viewed in different places in the application.
4) “Email Notifications / Reminder Notification” : 
a. Enrollment - Email sent when the student is enrolled in the scheduled Syllabus.
b. Completion - Email sent when the Syllabus is completed.
c. Enrollment Cancellation - Email sent when the student's enrollment is canceled.
d. Reminder - Email sent as a reminder of the student's enrollment.

Lesson Properties

As shows in above Images 3 and Image 4, a new Lesson (Under Syllabus) will be created in GyrusAim with the following fields:
1) “Medium” :
a) The Type of Lessons.
2) “Program” :
a) A group of different properties that can be used for scheduling OR reporting.
i) “Day Number”: Determine the day of Syllabus Schedule that this Event will be executed.
ii) “Start Time, End Time”: May be used while scheduling a Syllabus to dictates the time the Event will be scheduled.
iii) “Duration”: Will be used in reporting.
iv) “Instructor Ratio”: Will be used during scheduling time.
3) “Resource” :
a) On the Lesson level users can associate different types of resources including Instructor.
b) Associated resources will be reserved during Syllabus Scheduling.
4) “Associated Trainings” :
a) As shown in above Image 4, eLearning And Course (ILT) are available to select on the Manage Lesson page. A user can select a Learning Object with the Course as well.
b) “Program”: For individual training, that is associated with a Lesson, a User can set particular “Program” that is added to the related Lesson Master.

Syllabus Scheduling

Users can schedule the Syllabus for students by selecting the following initial values. Refer to Image 5.
1) Syllabus Master.
2) Start Date.
3) “End Date”: 
a) Will auto calculate, by days, added in Syllabus events. 
4) “Description” : 
a) Populates from existing Description from Syllabus Master. 
b) The user can change the schedule for a particular event. 
5) “Pattern, Week Between, Month Between” : 
a) Populates with the existing Pattern from Syllabus Master. 
b) The user can change the schedule for particular event. 
6) “Lesson Detail”: 
a) Populates with existing associated lessons from the selected Syllabus. 
b) The user can Uncheck the unwanted Lessons for this particular Syllabus Schedule. 
c) Unchecking of Lessons will affect the Syllabus Schedule “End Date”
d) Lesson Day number will also be affected by unchecking Lessons. 
7) From the Schedule List page a user may edit the existing Schedule.
a) Unselecting the Lesson will cancel the event and reservations for all enrolled students. 
b) Every change in the Syllabus Schedule will reflect in the existing student’s schedule and reservations. 

Scheduled Resources

1) Refer Image 6.
2) On the scheduling of Syllabus, the Resources that are associated with the Syllabus’s Lessons, will be reserved according to Lesson settings. 
3) If there are any conflicts for Resource Reservation it will be indicated with a red “X” in the Resource List row. 
a) Clicking the red “X” Icon will open a calendar view providing the conflict details.
4) Instructor(s) will be reserved based on the “Instructor Ratio” configured and the number of selected students. 
a) For example, if the “Instructor Ratio” is 4: 1 and <=4 student are selected then one Instructor among the instructor related to Lessons will be reserved. And for <=8, 2 instructors will be reserved.

Enrollments

1) Refer to Image 6.
2) A user can Enroll student(s) into a scheduled Syllabus. 
a) On the enrollment of a student, If Course (ILT) is selected as Associated Training with Lesson, appropriate Gyrus class will be scheduled on basis of the start date of Syllabus scheduling and the number of days of Lessons and pattern. Selected individuals are automatically enrolled in those classes.
b) If there is a conflict that occurs for a person with another scheduled event then a Conflict Icon will appear on that particular student – lesson record. 
3) A user can cancel existing enrollment of a student from whole Schedule OR one of the Lessons of the Syllabus.
4) A user can enroll more students in the existing scheduled record. 
5) After scheduling the Syllabus, enrolled students get their schedule on the External Catalog page according to sequence number and day number. The student can take training according to schedule only.
