Summary

The External Training feature gives you the capability to create a training program with robust scheduling capabilities. It allows you to create and associate Syllabi, Lessons, and Learning Objects. Included in External Training is bulk import functionality giving you the ability to add, organize, and schedule the Syllabi, Lessons, and Learning Objects in bulk.


Permission's-

1. To access the External Training menu the user needs the “ExtApp1 Submenu View” permission.
2. To view events the user needs “View External App” permission.
3. To Add / Update / Associate / Associate Learning Object events the user needs “Update External App” permission.
4. To delete events user needs “Delete External App1” permission. 
5. To access the External Catalog menu, the user needs the “External Catalog Submenu View” permission.


External Training may be accessed through the Navigation Menu > Training > External Training > List. From here you can see your Syllabus List. 




Manual addition of a Syllabus, Lessons and Learning Objects


To manually add a new Syllabus select the "+" action button to Add.

Populate the Basic Information fields:


  1. Name
  2. Identifier Code
  3. Active
  4. Description
  5. Pattern
  6. Weeks/Months Between
Once populated, click Save and then Next.

Within Lesson Association, populate the Lessons fields to add a Lesson:



  1. Name
  2. Identifier Code
  3. Description
  4. Active
  5. Lesson Sequence No
  6. Expiration Date
  7. Medium
  8. Program
Once you have populated the fields, click Save. The saved lesson will appear within Lessons Info, in the bottom half of the page. 



When you have finished adding lessons, click Next.

Configure your email notifications and then click Next.

Review and click Save.


After the syllabus and lessons are created you can associate the LO into the lesson. Within the Syllabus > Lesson Association right-click the lesson and select the Manage action button.




A popup will display the list of eLearning or ILT LOs to associate. 

 

Select your LO and then populate the fields within the Update Learning Object List popup. You will need to set “Learning Object Sequence No” at the time of association. If the “Learning Object Sequence No ” is not set then the last sequence number is automatically applied. From the lesson update panel, a user can add a lesson level LO Expiration Date. This is not related to the LO master expiration date. The user can set different LO Expiration Date per lesson for a single LO that is associated with different lessons. Click Save once completed.





Import addition of a Syllabus, Lessons and Learning Objects 

From the External Training List, select the Import Syllabus Lesson action button.



On the SCO Import tab, upload your zipped content files. If you are uploading more than one content file within the same zip file, select the "Consolidated Single Zip file" checkbox. When creating your zip file(s) and Session CSV, ensure that the file name and the "Session_PackageFileName" in the CSV file match. Once the content files are uploaded, click on the CSV Import tab.



Here is where you will upload the Syllabus CSV and Session CSV. Upload the syllabus file first by clicking on the upload action button next to it. Then click Save. Similarly, upload the session file next and then click Save. Please allow the syllabus and session uploads to complete. Once both files are uploaded, click on Start Process. This will begin the process to map the LOs (content files), syllabus, and lessons. 

In the History tab, you can find all statuses related to both successful and failed bulk uploads.




Scheduling a Syllabus

To schedule a syllabus, navigate to the External Training List. Right-click on the syllabus you wish to schedule and select the Schedule action button.


Select the date you wish your syllabus to begin and select the Schedule action button.



Confirm the details shown on the Schedule tab are correct. Once verified, select Next. 



Once in the Resource tab, select Manage Resources action button.



Assign your resources, as appropriate, and then click Save and then Next.



On the Enrollment tab, click on the Add action button to add learners to the scheduled syllabus.




Place a checkmark next to the learners you wish to enroll, then click on Add To Enroll List. 



Save Enrollment once completed. 


End-User External Training

Once the Learner is assigned to External Training, they may find the courses in their IDP by navigating to My Learning > IDP and clicking on their External Training tab. Here you will see all of the lessons within the Syllabus listed. Click on "Find Training" to access the course material.



When you are ready to take the course click on the Launch action button.



Once completed, you will see the Result in the pop up. Click OK.



The lesson will be removed from your External Training list at the next lesson will have the Find Training action button to take the next course.
